How do I open and edit a document (expense or income)?

Click a document in any list to open it, then change any field on the Details and Lines tabs. Changes save automatically, on the web and in the mobile app.

To open a document, click it (or tap it) in any document list. The document page shows the receipt or invoice file next to the data SparkReceipt read from it, and you can change any of that data right there. Edits save automatically as you go, so there is no Save button to press.

The same page is used for expenses, income, statements and other documents. People sometimes call it the "expense page" or the "receipt entry".

Open a document

In the web app

  • Open Documents in the left sidebar to see all your documents in a list, with search and filters. Click a row to open it.
  • Or open a month under Months in the left sidebar. Click Months itself to see every month, including older ones.
  • Recents under Documents lists the documents added most recently, which is the quickest way to find something you just uploaded.

In the mobile app

  • Open the Documents tab and tap the document.

To find a specific document, use the search box or a filter such as Document date. See How to search and filter documents.

Edit a document in the web app

The document page has these tabs:

  • Details: the Merchant (or Payer on income), the date, Review status, Document category (the document type), Subcategory (the Category), payment method, Reference, Document tags and other details.
  • Lines (on expenses and income): the line items with their amounts, tax and Category. Use + Insert new line to add a line.
  • Comments: notes from your team and messages from SparkReceipt, for example why a document was flagged.

Click a field, change it, and move on. The page shows when it was Last saved:.

Edit a document in the mobile app

Open the document and tap the field you want to change, such as Merchant, the date, Payment method or Type. More actions, such as Change document type..., Rescan document and Move to trash, are in the ⋯ menu.

Change the date

In the web app the date field is called Transaction date on an expense receipt, Invoice date on an expense invoice, and Document date on income and other documents. In the mobile app it is Receipt date or Invoice date on an expense and Payment date on income. Change it on the document and it saves on its own. The document then moves to the month of its new date.

To fix dates on many documents, find them first with the Document date filter in Documents, then open each one. If the date is wrong because the scan misread it, SparkReceipt may already have marked the document Needs attention with a Check the date notice.

Delete a line item

In the web app, open the Lines tab and choose Remove from the menu at the end of the line. You can also tick several lines and remove them together. The mobile app and all other line changes are covered in How do I edit, add or remove line items on an expense or income?.

There is no action that removes the line items from many documents at once.

When you can't edit a document

  • The document is in a closed accounting period. It is locked until the period is reopened. See Closing accounting periods to lock past documents.
  • Your role. Contributors can edit only the documents they submitted. Ask an admin if you need to change someone else's document.
  • The document is in the Trash bin. Restore it first.

Editing feels slow

Each change is saved to the server as you make it, so on a slow connection a field can take a moment to show as saved. If saving stays slow everywhere, reload the page. If it keeps happening, contact support and tell them which documents and what you were changing.
