How do I see who changed what in my account?

Account activity lists who changed, deleted, downloaded or shared what in your SparkReceipt account, newest first. Owners and Admins open it from Account & Users in the web app, or Account settings in the mobile app.

Account activity lists what happened in your SparkReceipt account, newest first: who edited or deleted a document, who changed a Category or a user's role, who downloaded files or exported a report, and when someone opened a link you shared. In the web app, open Settings → Account & Users and select Account activity under Account details. In the mobile app, open Account settings → Account activity.

Only the account's Owner and Admins see Account activity, and Accountants whose Accountant permissions are set to Admin. Members, Contributors and Accountants without Admin permissions don't see the page, because it shows what every user in the account did. See Understanding access levels and user roles.

What each row shows

Each row says what happened, who did it and when:

  • What happened, such as "Changed the Category “Travel”" or "Deleted the Expense from Acme Oy". For a document, the row also shows its number, total and date.
  • Who did it. A user is shown by name. Changes SparkReceipt made on its own are shown as AI review, Automation (an automation rule you set up) or Scan (a rescan replacing values). Other changes SparkReceipt made for nobody in particular, such as an automatic bank match, are shown as SparkReceipt. SparkReceipt support means our support team made the change while helping you. Someone with the link is a person who opened a link you shared and isn't signed in.
  • In the web app, where it came from, such as Web app, Mobile app, SparkAgent or AI assistant (a tool connected to your account, see Connect AI tools to SparkReceipt with MCP).
  • When, in your account's time zone on the web.

In the web app, a row also lists the fields that changed, for example Name: Acme → Acme Oy. Values that are secret, such as a webhook's signing secret or a bank account number, show as hidden. When a row is about a document your account still has, Open document takes you to it.

If a user downloads the same file several times within five minutes, Account activity shows one row with the number of times.

What is recorded

  • Documents: documents a user created (uploads, manual entries, SparkAgent and AI assistants), edits, deletes, moving a document to another linked account, splitting and merging, changing the order of its files, AI Field values, payments, matching to bank transactions, publishing to your accounting software, rescans, documents restored together with their bank statement, comments edited or deleted, shared links created and opened, file downloads and exported reports. Documents that arrive from your inbox, a recurring automation or your accounting software are not listed one by one. Viewing a document or its preview is not recorded.
  • Trips and expense claims: trips once they are finished, edited or deleted, and each step of an expense claim, such as submitted, approved or paid. They are listed under Documents.
  • Members: users added or removed, role changes, invitations and payout details.
  • Settings: account details, Categories and Category imports, Tags, AI Fields, tax rates and tax codes, automations, closed periods, Category rules, tax treatment rules, business use defaults, payment methods, Merchants and Payers (including merges), vehicles, Schedule C lines and export settings. Billing is listed here too: plan changes, cancellations, credits and add-ons bought, and a request for the code that deletes the account.
  • Integrations: accounting software connections and the payment accounts in use, bank connections and bank accounts, inboxes and their sender rules, the HMRC connection, webhooks, and AI assistants given or removed access to the account.

Some things are not listed because they belong to the person rather than the account, who may use the same login in other accounts: sign-ins and sign-outs, a user's own login details such as their email address or password, and their own saved addresses, saved searches, connected calendars, notification settings and default currency.

Filter the list

In the web app, use the filters above the list:

  • Member shows only what one user did themselves.
  • Area narrows the list to Documents, Members, Settings or Integrations.
  • Date shows a range of days.

The list loads the newest activity first. On the web, select Load more at the bottom to see older rows. In the mobile app, older rows load as you scroll.

In the mobile app, the tabs at the top pick the area: All, Documents, Members, Settings or Integrations. Tap a row about a document to open it. The mobile app doesn't list the changed fields; open Account activity in the web app to see them.

How long activity is kept

Changes to documents stay in Account activity, and so does anything SparkReceipt support did. Other activity, such as settings changes, file downloads and links opened by people who are not signed in, is kept for 24 months, whether it was done by a user, by SparkReceipt itself or by someone with the link. Document edits made before Account activity was added are included.

For the history of a single document, open it in the web app and select View changes. It lists the changes to that document: edits, files attached, removed or reordered, splits and merges, payments, AI Field values, bank transaction matches, rescans, restores with its bank statement, shared links and publishing to your accounting software. Everyone who can open the document sees its changes there, not only the Owner and Admins.
