SparkReceipt can export your documents as a file that's already formatted for a specific accounting package, so you can import it directly instead of reshaping a plain spreadsheet by hand. The Accounting Software templates cover:

  • Sage 50 — CSV for Sage 50 Accounts (UK / Ireland)
  • Sage 200/300
  • DATEV — the EXTF Buchungsstapel format used in Germany
  • Wave

These are file exports: SparkReceipt builds the file, you download it, and you import it into your accounting software yourself. That's different from the direct QuickBooks Online and Xero connections, where documents are published straight into the platform — see What accounting software integrations do you have? for that side. Use these templates when your software isn't one of the direct integrations but can import a formatted file.

Two places to create a template export

You can produce a template file from either of two spots in the web app.

From the Documents view

  1. Open the Documents view in the SparkReceipt web app
  2. Filter or select the documents you want to include
  3. Click Export as...
  4. In the export dialog, open the Accounting Software tab
  5. Pick the template you need (Sage 50, Sage 200/300, DATEV or Wave)
  6. Fill in the template's settings (see below), then export

From Reports

  1. Click Reports in the left-hand menu
  2. Click Create report
  3. In Create custom report, choose the date range and any filters you want
  4. Choose the Accounting Software format and pick your template
  5. Fill in the template's settings, then click Generate report

Either way, the file is generated the same way as any other export: SparkReceipt prepares it in the background, emails you when it's ready, and lists it in Reports for download.

Template settings are remembered per account

Each template has its own settings — the account codes and identifiers your accounting software expects. SparkReceipt saves these per account, so once you've set them up they're pre-filled the next time you export, and everyone on the account uses the same configuration.

Sage 50

  • Account Reference — the customer/supplier reference to write on each row
  • Nominal Code — the nominal account to post to
  • Default Tax Code — the Sage tax code (T0, T1, T2, T5 or T9) used when a line has no more specific mapping

DATEV

  • Consultant Number (Beraternummer) — required
  • Client Number (Mandantennummer) — required
  • Account Chart — your chart of accounts (SKR 03 or SKR 04)
  • Account Length — the account number length (4 or 5 digits)

If a required setting is missing, the export will tell you which field to fill in before it can build the file.

Which documents are included

The export includes whatever is in scope when you start it — the documents you selected or filtered in the Documents view, or everything matching the date range and filters in Create custom report. Both expenses and income are included, mapped to the debit/credit side each format expects.

Tip

If you're not sure which template or codes your accountant needs, ask them for the chart-of-accounts codes and tax codes before your first export — those are the settings SparkReceipt asks for, and getting them right once means every later export imports cleanly.
