Can other users see my uploaded documents?

How document visibility works in SparkReceipt and which roles can see what.

By default, your documents stay private to your account — only people you've explicitly invited can see them. There is no public listing and no cross-account visibility.

What other users in your account can see depends on the role you assigned them when you sent the invite:

  • Contributors can only see and manage the documents they themselves uploaded.
  • Members, Admins, the account Owner, and Accountants have full access to every document in the account.

So if you want a teammate to upload receipts but not browse anyone else's, invite them as a Contributor. If you want your bookkeeper or accountant to see everything, invite them as an Accountant (which also doesn't use a paid seat).

One thing to keep in mind

If you generate a shareable link for a monthly document collection, anyone who has that link can view and download the documents in that collection without a SparkReceipt account. The link is time-limited, but it's a deliberate exception to the "private by default" rule — only share it with people you trust.
