How to set up an integration from SparkReceipt to QuickBooks Online

Step 1: Connect to your QuickBooks account

  1. Log in to your SparkReceipt account or create a new account.

  2. In the SparkReceipt web application, open the Integrations page from the left-hand menu and choose QuickBooks Online under the Accounting section.

  3. Click Connect to QuickBooks. You'll be prompted to sign in to your QuickBooks Online account and authorize the connection.

  4. Once authorized, SparkReceipt syncs your QuickBooks expense categories, customers, vendors and other reference data through the QuickBooks API so they are immediately available in SparkReceipt.

Step 2: Review the synced data

After connecting, the QuickBooks integration page in SparkReceipt shows the data that has been synced from QuickBooks – including expense and income categories, vendors and customers. You can review this data at any time to confirm the connection is working as expected.

Step 3: Publish documents to QuickBooks

Once connected, SparkReceipt can publish your processed documents to QuickBooks:

  • Expense documents (receipts, bills, purchases) are pushed to QuickBooks as Bills/Purchases.
  • Income documents (sales invoices, sales receipts) are pushed to QuickBooks as Invoices/Sales receipts.

Open the published documents in your QuickBooks Online account to review, edit and report on them just like any other QuickBooks transaction.

The integration is designed to keep your QuickBooks books up to date with what you capture in SparkReceipt – without having to re-enter data manually.

Common publishing questions

Are income amounts published to QuickBooks as tax-inclusive?

No. Income documents are published to QuickBooks Online as Invoices, and those invoices are always tax-exclusive. Each invoice line carries the net (pre-tax) amount, and QuickBooks adds the tax on top from the tax code. There is no option to publish income as a single tax-inclusive gross amount.

Can a receipt be published to QuickBooks as a single line?

Not with a setting. SparkReceipt publishes one QuickBooks line per line item on the document, and each line carries its own category. There is no toggle that collapses a multi-line receipt into a single line.

If you want a single line in QuickBooks, edit the expense in SparkReceipt so it has just one line item (a single category) before you publish it. It will then publish as one line. A receipt that already has a single line item is published as a single line.

Can an expense be published with an empty Vendor, or a default vendor?

No. Publishing an expense to QuickBooks Online requires a merchant. SparkReceipt maps the expense's Merchant to the QuickBooks vendor (on a Bill) or payee (on a Purchase). If the document has no merchant, the publish fails — SparkReceipt cannot create the transaction without one.

There is no setting for a default or fallback vendor. Set a Merchant on the expense before publishing. If you don't have the real supplier, you can enter a generic catch-all name (for example Miscellaneous) and reuse it — SparkReceipt will create and reuse a single matching vendor in QuickBooks for that name.

Where do I see why a publish failed?

When a publish to QuickBooks fails, SparkReceipt writes the exact reason onto the document itself. Open the document in the SparkReceipt web app and look at its QuickBooks publishing section: the error message there is the actual response from QuickBooks (or the specific check that stopped the publish), not a generic warning. Read it before changing anything — it tells you precisely what to fix, for example that a line's tax does not match its tax code, or that the document's line amounts do not add up. Once you have corrected the document, publish it again.
