SparkReceipt connects to SimplBooks with two values you copy out of your SimplBooks account: a Company ID and an API token. Unlike our other accounting integrations, there is no "Sign in with SimplBooks" redirect — SimplBooks authenticates over its API with a token you generate yourself, so you paste both values into SparkReceipt's connect form. This article walks through getting each one and entering them.
You need two things before you start:
- A SimplBooks subscription on the Premium plan. The API is a Premium-only feature in SimplBooks — on a lower plan there is no way to create an API user or a token. See SimplBooks' own note, What is API and how it works?
- A SparkReceipt account where you are an administrator or accountant. Integrations are set up under Integrations, which is only available to those roles — if you don't see it, ask the account owner.
Step 1: Enable the API in SimplBooks
The API module has to be switched on for your SimplBooks company before you can create an API user. If you are on the Premium plan and don't yet see the API settings, SimplBooks' support can enable it for you. SimplBooks documents the feature here: SimplBooks API documentation.
Step 2: Create an API user and generate a token
Once the API is enabled:
- Sign in to SimplBooks at app.simplbooks.com.
- Open Settings → Users.
- Add a new API user. An API user is a special, non-login user that exists only to hold an API token — keeping it separate from your personal login means you can revoke SparkReceipt's access later without disturbing anyone's day-to-day account.
- Generate an API token for that user. The token is a long string of letters and numbers, for example
5e7c2b8035bb7533453450f7bce3e3cd.
Copy the token somewhere safe. SimplBooks tokens are long-lived — they do not expire — so you only ever need to do this again if you regenerate or delete the token in SimplBooks (see If your connection stops working).
Step 3: Find your Company ID
Your Company ID is the unique identifier SimplBooks gives your company. It is a 32-character string of letters and numbers — for example 0fdf33a5c10c384986f81fc45a444f22, not a short number.
The quickest way to find it is in your browser's address bar while you are signed in to SimplBooks: the web address is app.simplbooks.com/<your-company-id>/..., and the part right after app.simplbooks.com/ is your Company ID. Copy that value. If you are unsure which part of the address is the ID, SimplBooks support can confirm it for you.
Step 4: Paste them into SparkReceipt
- Log in to SparkReceipt as an administrator or accountant and open Integrations in the left-hand sidebar.
- Under the Accounting section, find SimplBooks and click Connect to SimplBooks. Only one accounting integration can be active on an account at a time, so if you already have QuickBooks Online, Xero, FreeAgent, FreshBooks, Sage Accounting or Zoho Books connected, remove that connection first.
- In the connect dialog, enter:
- Company ID — the value from Step 3.
- API token — the token from Step 2.
- Company name (optional) — a label shown on the connection details in SparkReceipt; it does not have to match SimplBooks.
- Home currency and Country — prefilled from your SparkReceipt account settings. They seed the connection's defaults and can be changed later. SimplBooks is available in Estonia, Finland, Latvia and Poland, so the choices are limited to those regions and to the euro or Polish złoty.
- Click Connect. SparkReceipt checks the Company ID and token straight away. If they're accepted, it connects and syncs your SimplBooks data; if they're rejected you'll see SparkReceipt rejected those credentials. Check the company ID and API token. right on the form — the two most common causes are a mistyped Company ID or a token that was regenerated in SimplBooks after you copied it.
Once connected, you can publish expenses and income from SparkReceipt to SimplBooks and manage the connection from its settings page.
If your connection stops working
Because the token never expires, a working SimplBooks connection only breaks if the token is regenerated or deleted in SimplBooks (or the API user is removed). When that happens, publishing to SimplBooks starts failing and SparkReceipt asks you to reconnect. To fix it, generate a new token in SimplBooks (Step 2), then open the SimplBooks connection in SparkReceipt, choose to reconnect, and paste the new token. Your Company ID stays the same.
