Zoho Books integration (beta)

How to connect SparkReceipt to Zoho Books, which Zoho data center to pick, what is imported from Zoho Books, and how expenses, refunds and income are published to it

The Zoho Books integration is new and currently in beta. It is available from the Integrations settings of the SparkReceipt web app – no separate activation is needed. If you don't see a Zoho Books card under Accounting on that page, the integration may still be rolling out; contact SparkReceipt support through the in-app chat widget and we'll help.

What the Zoho Books integration does

The Zoho Books integration links a SparkReceipt account to a single Zoho Books organization so that your accounting reference data stays in sync and the documents you capture in SparkReceipt can be posted straight into Zoho Books.

Once connected, SparkReceipt pulls reference data from Zoho Books and pushes processed documents to Zoho Books:

  • From Zoho Books → SparkReceipt (read-only sync):
    • Chart of accounts – expense-type accounts become expense categories in SparkReceipt, and income-type accounts become income categories. Nested accounts keep their parent/child structure.
    • Contacts – vendors are imported as merchants (for expenses) and customers as customers (for income documents).
    • Bank, cash and credit card accounts – offered as the account a paid expense was paid from when you publish.
    • Taxes and tax groups – so each line's tax can be matched to a Zoho Books tax rate. A combined tax such as GST + PST is matched to the corresponding Zoho tax group.
    • Organization preferences – base currency and company details are read from Zoho Books to keep SparkReceipt aligned with your Zoho Books settings.
  • From SparkReceipt → Zoho Books (publishing documents):
    • Paid expenses become an Expense in Zoho Books, recording the money as spent from the account you selected; unpaid supplier invoices become a Bill; and refunds become a Vendor Credit, which needs the Zoho Books Professional plan or higher. EU reverse charge is not set on any of these.
    • Income documents (sales invoices, sales receipts) are published as Invoices. If the document is marked as paid, a customer payment is recorded.
    • The original attachment (PDF, image or Office document) is uploaded alongside the transaction. Image formats Zoho Books does not accept are converted to JPG before upload.

Zoho Books reporting tags and projects are not synced or set when publishing.

Prerequisites

  • An active Zoho Books organization that you are authorized to connect to third-party apps.
  • Only one accounting integration can be active on a SparkReceipt account at a time. If you already have QuickBooks Online, Xero, FreeAgent or FreshBooks connected, remove that connection before connecting Zoho Books.
  • The person doing the connecting must be a SparkReceipt administrator or accountant on the account – those are the roles that can see the Integrations settings.

Connecting and initial setup

  1. Log in to SparkReceipt as an administrator or accountant and open the Integrations entry in the left-hand sidebar.
  2. Under the Accounting section, click Connect to Zoho Books.
  3. SparkReceipt first asks for your Zoho data center – see the next section. Leave it on Detect automatically if you're unsure, then click Continue to Zoho Books.
  4. You'll be redirected to Zoho to sign in and authorize SparkReceipt.
  5. If your Zoho login has access to more than one Zoho Books organization, SparkReceipt asks you to select the Zoho Books organization you'd like to connect – the integration links a SparkReceipt account to a single Zoho Books organization at a time.
  6. SparkReceipt then runs the initial sync, pulling in accounts, contacts, taxes and bank accounts from Zoho Books, as well as your organization preferences. When the sync completes, you land on the Zoho Books Connection Settings page in SparkReceipt, where the Imported from Zoho Books section lets you review the imported data.
  7. Right after connecting, SparkReceipt asks whether it should auto-publish new expenses to Zoho Books. If you turn it on, every new expense is published as soon as it is scanned. You can change this later under Preferences on the same settings page (Auto-publish new expenses).

From that point on, documents you process in SparkReceipt can be published to Zoho Books from the document view.

Which Zoho data center should I pick?

Zoho hosts each account in a regional data center, and the sign-in page lives on that region's domain – for example zoho.com for the United States, zoho.eu for Europe, zoho.in for India or zoho.com.au for Australia. When you click Connect to Zoho Books, SparkReceipt asks which data center your account lives in so it can send you to the right sign-in page.

  • Detect automatically starts on Zoho's global sign-in page and lets Zoho redirect you to your region. This works for most accounts.
  • If Zoho asks you to sign in twice or refuses the connection, cancel and pick your region explicitly. Your data center is the domain you normally see in your browser when you use Zoho Books.

SparkReceipt remembers the data center once connected, so a later Reauthorize doesn't ask again.

Publishing documents to Zoho Books

Unless you turned on auto-publish, publishing to Zoho Books is a manual step in SparkReceipt. Documents only move to Zoho Books when you publish them.

Publish a single document

Open the document in SparkReceipt and click Publish to Zoho Books in the document view. The publish dialog shows what will be sent, lets you pick the Account a paid expense was paid from, and lets you match each line to a Zoho Books tax code. After publishing, you'll see a link back to the record in Zoho Books.

Publish several documents at once

In the documents list, select the documents you want to publish and click the Publish action in the bulk-action bar at the top of the list. The dialog also offers an option to re-publish any documents that were already published, in case you've made edits in SparkReceipt that you want reflected in Zoho Books.

Documents added before connecting Zoho Books

Any documents that were processed in SparkReceipt before you connected Zoho Books were categorized using SparkReceipt's generic categories. Those generic categories aren't mapped to a Zoho Books account, so publishing them will fail until they're moved to a Zoho Books-synced category. Two ways to fix this:

  • Pick a Zoho Books-synced category manually. Open the document, change the category to one of the Zoho Books-synced expense or income accounts, and publish.
  • Rescan the document. Use the Rescan document action on the document. The AI re-categorizes the document against the categories that are now available, which includes your Zoho Books accounts.

Common publishing questions

Are expenses published as Bills or Expenses?

It depends on whether the document is paid. A paid expense becomes a Zoho Books Expense, which records the money as already spent from the account you selected in the publish dialog (or the default account set on the Connection Settings page). An unpaid supplier invoice becomes a Bill instead. Paid expenses publish as Expenses because Bills need the Zoho Books Professional plan or higher, while Expenses are available on every plan (including Free). A document already published as a Bill that you later mark paid keeps its Bill and records a vendor payment, rather than switching to an Expense.

How are refunds published?

A refund (an expense with a negative total) is published as a Zoho Books Vendor Credit with positive line amounts, the same way QuickBooks Online and Xero refunds are handled. Vendor Credits need the Zoho Books Professional plan or higher, so refunds can't be published on the Free or Standard plans. Customer-side credit notes are not created – refunds in SparkReceipt are always on the expense side.

Can a receipt be published to Zoho Books as a single line?

Not with a setting. SparkReceipt publishes one Zoho Books line per line item on the document, and each line carries its own account. If you want a single line in Zoho Books, edit the expense in SparkReceipt so it has just one line item (a single category) before you publish it.

Why is the tax amount in Zoho Books a cent off from my receipt?

SparkReceipt sends each line's net amount together with the matching Zoho Books tax, and Zoho Books recalculates the tax from its own rate. On a tax-inclusive receipt with an awkward subtotal, that recalculation can differ from the tax printed on the receipt by a cent or two. Zoho Books has no way to override the calculated tax on a line, so this rounding difference is expected; the total posted in Zoho Books is the book of record.

Can an expense be published with an empty merchant, or a default vendor?

No. Publishing an expense to Zoho Books creates an Expense or a Bill, and both need a vendor. SparkReceipt maps the expense's Merchant to the Zoho Books vendor. If the document has no merchant, the publish fails. There is no setting for a default or fallback vendor. If you don't have the real supplier, enter a generic catch-all name (for example Miscellaneous) and reuse it – SparkReceipt will create and reuse a matching Zoho Books vendor for that name.

How are foreign-currency documents handled?

If your Zoho Books organization has multi-currency enabled, documents are published in their original currency together with the exchange rate SparkReceipt has for the document date. If multi-currency is off in Zoho Books, or you've chosen to always convert to your home currency in the Connection Settings preferences, amounts are converted to your Zoho Books base currency before publishing.

What does "Tax handling when publishing" change?

The Tax handling when publishing preference on the Zoho Books Connection Settings page works the same as for the other accounting integrations. With Track tax (recommended), each line is matched to a Zoho Books tax and the tax is tracked separately. With the no-tax option, expenses are published as tax-inclusive totals with no tax on the lines.

Which attachment types are uploaded?

Zoho Books accepts PDF, JPEG, PNG, GIF and BMP images as well as Word and Excel files. Other image formats (for example WebP, HEIC or TIFF) are converted to JPG before upload.

Troubleshooting and feedback

Because Zoho Books is still in beta, you may occasionally see gaps or edge cases we haven't polished yet. If something doesn't look right – a missing category, a document that failed to publish, an unexpected error – please let us know through the in-app chat widget.
