SparkReceipt takes receipts in four ways: the mobile app (camera, gallery, files and the share button), uploads in the web app, forwarding to your personal SparkReceipt email address, and automatic email scanning of a connected mailbox. Anything another app can turn into a photo, a PDF or an email can reach SparkReceipt through one of these. SparkReceipt has no direct connection to WhatsApp, document scanners, FTP servers, Apple Pay or taxi and ride apps.
Sharing from Photos, WhatsApp or Files on your phone
You can send an image or a PDF from another app straight to the SparkReceipt mobile app with the share button.
iPhone and iPad:
- Open the photo or PDF, for example in Photos, Files or a WhatsApp chat.
- Tap the share button and choose SparkReceipt. If you don't see it, scroll the app row and tap More.
- Choose + Add as Expense, + Add as Income, + Add as Bank or Credit Card Statement or + Add as Document.
- SparkReceipt opens and scans the file. You need to be logged in to the app.
Android: tap share, choose SparkReceipt, and the file is added as an Expense. You can change the type on the document afterwards.
The share button works for images and PDFs. Several files shared in one go become one document with several files, so share separate receipts one at a time.
Had to share a photo twice before it appeared? Older versions of the iPhone app sometimes missed a share when the app wasn't already open, so the photo only arrived on the second try. Update SparkReceipt from the App Store to fix it.
Receipts in a WhatsApp group
SparkReceipt can't connect to WhatsApp or read a group chat automatically. To get the receipts in:
- A few receipts: open each image or PDF in the chat and share it to SparkReceipt as described above.
- Many receipts: save the media to your phone or computer (WhatsApp Web and the desktop app let you download them), then upload them all at once with mass upload in the web app.
- Saved to your gallery already: use Select from gallery in the mobile app.
If the people in the group should send receipts in regularly, consider inviting them to your account instead, so they can scan receipts themselves. See Inviting new users.
Document scanners such as ScanSnap
There is no direct scanner-to-SparkReceipt connection. Set your scanner software to save scans as PDF or JPEG, then:
- upload them in the web app with Add documents, or with mass upload for a stack of receipts, or
- if your scanner software can send scans by email, send them to your SparkReceipt forwarding address.
Save one receipt per file. SparkReceipt reads one receipt per document, so from a PDF with several receipts in it only one gets read. See Can SparkReceipt extract multiple receipts from a single PDF file?
FTP
SparkReceipt has no FTP or SFTP upload. Use the web app upload, mass upload or email forwarding instead. For automated sending from your own systems, email to your forwarding address is the closest option.
Apple Pay and Apple Wallet
SparkReceipt can't read Apple Pay or Apple Wallet transactions. Two things get you close:
- The merchant's receipt. Most shops and online stores email a receipt when you pay with Apple Pay. Forward it to your SparkReceipt address, or let automatic email scanning pick it up.
- The payment itself. Apple Pay payments appear on the statement of the card behind them. Connect that bank account or upload the card statement, and SparkReceipt can match the payments to your receipts. See Connect a bank account and Bank statement extraction: the complete guide.
Taxi, ride and delivery apps (FREE NOW, Uber and others)
SparkReceipt doesn't connect to FREE NOW, Uber or other ride and delivery apps. These apps usually email a receipt after each trip, and you can usually download a PDF receipt in the app or on their website:
- Forward the receipt email to your SparkReceipt address, or set a forwarding rule in your email client so every trip receipt goes there automatically. See How to forward e-receipts from your email.
- Or connect your mailbox with automatic email scanning and the receipts are imported as they arrive.
- Or download the PDF receipt and upload it, or share it to the mobile app.
For mileage you drive yourself, see How to track mileage with Trips.
Drag and drop
In the web app you can drag files from your computer straight onto the upload area: in Add documents for one or a few files, or on the Mass upload documents page for up to 100. You can't drag an email from your email program into SparkReceipt. Forward it to your SparkReceipt address instead.
